Practly FZCO ("Practly", "we", "us", or "our") operates the website practly.app and the Practly coaching practice management platform. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our services.

• Payment information (processed securely by Paddle — we do not store card details)

We also collect information automatically when you use the platform, including log data, device information, IP address, and usage analytics.

• Generate AI pre-session briefs using your client session data (Pro plan only)

3. Data Storage and Security

Your data is stored securely using industry-standard encryption. We use Airtable as our primary database provider and implement appropriate technical and organisational measures to protect your information against unauthorised access, alteration, or destruction.

We retain your data for as long as your account is active or as needed to provide you services. You may request deletion of your data at any time by contacting us at [email protected].

4. Client Data

As a coach using Practly, you are the data controller for your clients' personal information stored in the platform. You are responsible for ensuring you have the appropriate legal basis to collect and process your clients' data, and for informing them about how their data is used.

Practly acts as a data processor on your behalf. We do not use your clients' data for any purpose other than providing you with the Practly service.

5. AI Features

The AI pre-session brief feature (Pro plan) processes client session notes and history to generate session preparation summaries. This data is sent to our AI provider (Anthropic) solely for the purpose of generating the brief. Anthropic's privacy policy governs their handling of this data. We do not use your client data to train AI models.

6. Sharing of Information

We do not sell your personal information. We may share your information with:

• Service providers who assist us in operating the platform (Airtable, Zapier, Resend, Paddle, Anthropic)
• Law enforcement or regulatory authorities when required by law
• Successors in the event of a merger, acquisition, or sale of assets

7. Cookies

We use cookies and similar tracking technologies to operate and improve our services. You can control cookies through your browser settings. Disabling cookies may affect the functionality of the platform.
